Procedure and Schedule

1. Meeting Themes

You selected a meeting theme for your presentation when you submitted your abstract.

There are 7 possible meeting themes for presentations The theme determines what meeting day you are a presenter. See daily schedule below.

Monday Poster Session

Tuesday Poster Session

3. Origins of Life
4. Future Technologies, Exploration and Societal Issues

Wednesday Poster Session

NOTE: Put up ALL Wednesday & Thursday theme group posters on Wednesday

2. Schedule for Putting Up Your Poster

  • Display your poster in theme group schedules as indicated above.
  • Theme areas for posters will be labeled in the poster display room.
  • Put your poster up in the specific space to match your poster (abstract) number.

Monday Poster Session

  • May be put up on Sunday (10 April) from 3 pm-9 pm.
  • Alternative: Put up poster 7 am-8:30 am on Monday (11 April)

Tuesday Poster Session

  • Put up poster 7 am-8:45 am on Tuesday (12 April)

Wednesday Poster Session, plus Thursday Display Morning

  • Put up poster 7 am-8:45 am on Wednesday (13 April)

  • Keep these posters on display both Wednesday & Thursday

3. Schedule to Be With Your Poster

  • Be with your poster about 1 hour during afternoon “Poster Sessions,” which are scheduled at these times:
  • Monday and Tuesday: from 4-6 pm
    Wednesday: from 4-5:30 pm
    Thursday theme posters are included in the Wednesday “Poster Session” display.

  • Be with your poster on your theme display day “Poster Session” at a time determined by your poster number, which will be up on the display board with your poster.
  • Even numbers: 1st half of poster session &
    Odd numbers: 2nd half of poster session.

4. Special Procedures for Handling Student Posters to Facilitate Judging

NOTE: Poster Judging involves selecting finalist posters for each meeting theme, then bringing these together on Wednesday night for finalist judging including all themes.

  1. Students put up their own posters (Schedule for putting up posters in 2. above).
  2. Taking down posters: ALL student posters are taken down by the meeting staff, except for posters put up for the Wednesday & Thursday display. These posters remain on display through Thursday morning. Then, they must be taken down by their student presenters on Thursday by 12 noon, when the meeting ends.
  3. Student posters taken down by meeting staff (on Monday & Tuesday night) are rolled up, identified by their assigned poster numbers, and held in a poster display room box for student pick up if the poster is not a finalist.
  4. A list of poster finalists selected for each display day (Monday-Thursday themes) will be on a chart near the poster pick-up area in the poster display room. If your poster is a finalist (listed on the chart), it is held for finalist judging then available in the pick up box on Thursday at noon.

Student Poster Award Ceremony

Scheduled for 12 noon as a part of the meeting on Thursday, 14 April.

•  Student winner will receive the Gerald Soffen Award certificate at the ceremony.
•  Arrangements to send the $1000 award check will be made with the winning student just after the award ceremony.
